Business Associate Agreement
As a healthcare practice, you and PsychNote AI enter into a HIPAA Business Associate Agreement governing how your patients’ protected health information is handled.
Summary. PsychNote AI (Gnosis Concepts Inc.) acts as your Business Associate under 45 CFR §164.504(e). We use protected health information only to provide the platform’s documentation features, limited to the minimum necessary; maintain administrative, physical, and technical safeguards (encryption in transit and at rest, tenant isolation, role-based access, session auto-lock, append-only audit logging); bind any subcontractors that handle PHI to the same protections under written agreements; and report any breach of unsecured PHI without unreasonable delay and no later than 60 days after discovery. No. The audio is used only to create your note and isn't stored on our servers afterward. What's saved is the finished note in the patient's chart — which you control and can delete. Patients can also decline to be recorded at any time.
Always. PsychNote drafts the note; you're the clinician who reviews, edits, and signs it. Nothing is finalized without you. The goal is to save you the typing, not to replace your clinical judgment.

You can export your finished notes to copy into your EHR, and we support exporting to systems like Valant, ChARM, and AdvancedMD. Many providers simply copy the completed note straight into whatever system they already use.
